Vacation

Vacation* accrual depends on the individual employee's length of service, work schedule, and position type.

For purposes of the vacation policy, annual work schedule is defined by those total annual hours worked as part of a 9-, 10-, or 12- month appointment.

*Not applicable to faculty.

Support Staff

All benefits-eligible support staff members working year-round schedules earn a certain number of paid vacation days accrued during each calendar year.  Accrued hours are posted in the online timekeeping system on the 15th of each month following the completion of the employee’s 90-day conditional period.

Vacation hours can be reinstated if the employee is hospitalized, or if a death occurs in the immediate family. In these instances, the support staff member may charge the hours to the appropriate paid time off and not to vacation if adequate documentation is provided (physician notice, copy of obituary etc.)

In instances where excessive time off has occurred and corrective action is in process, paid time off will be limited to that which is accrued.

Vacation may be taken only in increments of half days or whole days. Employees must receive approval from their direct supervisors prior to scheduling vacation. If an employee is unable to use all his or her vacation in a given year, up to one-half of a full year’s allotment may be carried into the next calendar year. Carryover hours cannot exceed one-half of the time accrued during the previous year.

Monthly accruals correspond to the employee’s hire date. As such, vacation is prorated for the first calendar year of employment at the rate of 6.25 hours monthly. Beginning in the sixth year of service, the monthly accrual increases to 9.375 hours. In the eleventh year of service, the support staff member accrues 12.5 hours per month.

Employees who are not benefits eligible, but who work a minimum of 16.12 budgeted weekly hours, accrue 3.125 hours monthly.

Benefits eligible support staff hired to fill a 9 or 10 month support staff positions accrue 3.125 hours monthly.

FMPC and Campus Police Support Staff Vacation Days

Accrued hours are posted in the online timekeeping system on the 15th of each month following the completion of the employee’s 90-day conditional period. As such, vacation is prorated for the first calendar year of employment at the rate of 6.667 hours monthly. Beginning in the sixth year of service, the monthly accrual increases to 10.0 hours. In the eleventh year of service, the support staff member accrues 13.333 hours per month. Campus Police Officer/Security have different accrual rules that apply to vacation. All other rules pertaining to accrued vacation time are applicable to Campus Police and FMPC staff.

Administration

Benefits eligible positions requiring year-round employment begin receiving 12.50 hours of vacation for each full month of service after the completion of the employee’s 90-day conditional period. Accrued hours are posted in the online timekeeping system on the 15th of each month. Monthly accruals correspond to the employee’s hire date. As such, vacation is prorated for the first calendar year of employment at the rate of 12.50 hours monthly. For each subsequent year, administrative employees are entitled to 150 annual hours of vacation each calendar year. If an employee is unable to use all his or her vacation in a given year, up to one-half of a full year’s allotment may be carried into the next calendar year. The maximum vacation accrual is 225 hours (twenty days plus a maximum of ten carryover days).

For part-time administrative staff requiring year-round employment, vacation is prorated based on the following schedule. Carryover is still half of a full year’s accrued yet unused vacation.

Benefits eligible administrative staff on an 11 month work schedule will receive two (2) weeks or 75 hours of paid vacation. Administrative staff on 9- or 10-month work schedules are not entitled to paid vacation.

 

Vacation upon Resignation, Termination of Employment, or Job Change

Upon resignation, dismissal, retirement, or death, an employee or his or her estate may be entitled to compensation for the number of accrued but unused vacation days. Accrued but unused vacation will be paid except in the case of willful or gross misconduct. An employee who is resigning and who does not give a proper notice (at least two (2) full weeks for support staff and four (4) weeks for administrative staff and Campus Police personnel), will not be paid for accrued unused vacation time.

If less vacation was taken than was earned prior to the termination date, the employee will receive pay for accrued but unused vacation. Likewise, if more vacation was taken than was accrued, the value of the extra vacation taken will be deducted from the final paycheck.

A change in annual work schedule which results in an increase or decrease in annual work hours will result in the payout of vacation accrued at the former annual work schedule.
